Congratulations, you've found a home you would like to rent and now it's time to apply!
This guide will provide a walkthrough of each step in a rental application and explain what is needed to successfully submit an application for consideration.

Before You Start the Application
The rental application process is a multi-step online process consisting of a form you may save and return to in order to complete the application after starting. Before you begin your rental application, we recommend having the following information handy to expedite completion of the application and review by the property manager:
Names & email addresses of additional adult applicants or guarantor
If there will be other adults living at the residence or you will have a guarantor attached to the application, you will need their email addresses to send invitations to join the rental application. Each occupant and guarantor is required to complete a rental application before being approved to sign a lease.
Current & previous monthly mortgage/rent payments
As part of the rental application and to verify rental history, you will be asked for your current and previous address along with the monthly payments. If an applicant does not have a previous address (other than their current address), select "I don't have a previous address" and this information can be skipped.
Information for any pets residing at the property
If any pets will be living at the residence, whether they belong to the primary applicant or another resident, the primary applicant is responsible for providing this information in the rental application.
Information for any vehicles located at the property
If any vehicles will be parked at the residence, whether they belong to the primary applicant or another resident, the primary applicant is responsible for providing this information in the rental application.
Electronic copies of identification card and proof of income
In order to verify the identify of rental applicants and confirm applicants meet the income requirements of the property management company, each applicant is required to upload copies of the following:
- Government-issued Photo ID
- Pay Stub
- Bank Statement
If you do not have copies of the above, please contact the property manager during the application process, as other forms of documentation may be accepted.
Social security number and payment method for background screening
All applicants will be required to provide their social security number and pay for a third-party consumer credit screening review. This independent organization will review each applicant's credit, eviction history, and criminal history, and provide a report for the property manager to review.
Primary Applicant vs. Adult Applicant vs. Guarantor
When beginning a rental application, there will be different roles available for selection in the application process:
Primary Applicant
Creator of the rental application who manages the process for all applicants including inviting others to join the application process.
Adult Applicant
Any person over the age of 18 who will be an occupant of the rental property is required to complete an application and sign the rental lease.
Guarantor
Any person over the 18 who will not be an occupant of the rental property but agrees to be financially responsible for the terms of the lease. Only one guarantor can be invited to a rental application.
Login or Create Account
To begin the application process, click Apply Now.
Existing Users
If you have an existing account with Propify, you can enter the email address or phone number associated with your account and password, and then click Login.
New Users
If you are new to Propify, click the Register tab, complete all fields, and then click Create Account. You will need to verify your email before beginning the application.
My Applications Page
After logging into Propify, if you're not automatically redirected to the My Applications page, find the page in the left hand navigation. Your application will have already been created by clicking Apply Now on the prior page. If you're ready to begin the rental application, click Start Application.
Once you have started the application, you can navigate to any step using the left-hand navigation. All steps must be completed for the rental application to be reviewed by property management.
Applicants can only have one active application at any given time. If you wish to apply for a different property after starting an application, the Current Application will need to be cancelled before a new application can be started. Applications and screening results expire after 30 days. Once expired, the application and screening background must be filled out and submitted again.
Applying for a Rental Home
Application Information
The first step of the application process will collect basic information about the rental lease and applicant including the following:
- Lease Length (in months)*
- Desired Move-In Date*
- Full Name
- Name Suffix
- Date of Birth
- Marital Status
The phone number and email address will be the same information as your Propify account and cannot be changed. When all fields have been completed, click Save & Next to go to the next step.
*This information is only required from the primary applicant and will not be editable by other adult applicants or guarantors completing an application.
Manage Adult Applicants (Primary Applicant Only)
Adding Applicants & Occupants to the Lease
If there will be other occupants in the rental property (or someone not living at the rental property will be signing the lease for financial reasons), the Primary Applicant can add this information on the second step.
Invite Adult Applicants or Guarantors
Anyone over the age of 18 residing at the rental property is required to complete an application and undergo a background screening to sign the rental lease. If applicants have a secondary person who will not live at the rental property but agrees to be financially responsible for the rental lease, they can be invited as a guarantor who must also complete an application and undergo a background screening.
Select whether you are inviting an adult resident or guarantor, enter the email address and click Send Invite. An email with a link to join the application will be sent.
Add Additional Occupants (under age 18)
Any occupants of the rental property who will be under the age of 18 for the duration of the lease should be listed on this page but are not required to sign the lease or complete a background screening.
Removing Applicants & Occupants from the Lease
Applicants or a guarantor can be removed from the rental application up until the invitation has been accepted. After an applicant or guarantor has accepted, they will have to cancel their individual application in order to be removed from the rental application.
Address Information
To establish rental or residency history, applicants will be asked to enter the following information about their current and previous address:
- Address
- City
- State
- Zip Code
- Country
- Monthly Rent or Mortgage Payment
- Residency Start Date
- Whether 30 days notice was provided
- Reason for moving
If an applicant does not have a previous address (other than their current address), I don't have a previous address can be selected and the information will not be required to complete the step.
Employment Information
Current & Previous Employment
To verify applicants meet the rental income requirements set by the property manager, an applicant's current and past employment information is requested on the rental application:
- Employer Name
- Job Title
- Monthly Income
- Employment Start Date
- Supervisor Name
- Employer Phone
- Employer Address
- Country
- City
- State
- Zip Code
If applicants are not currently employed, they can select other options including:
- Unemployed
- Retired
- Student
Additional Income
If applicants have other sources of income, the information can be added and will be counted toward total income relative to property manager requirements.
Pet Information
If any pets will be living in the the rental property, the Primary Applicant is required to complete the following fields for each animal:
- Name
- Gender
- Pet Type
- Weight
- Age
- Color
- Breed
- Confirm if the pet is a service animal
- Confirm if the pet is spayed/neutered
All pets need to be entered individually and clicking Add Another+ will display additional pet forms to be completed.
The primary applicant is required to enter all pet information even if the pet belongs to other applicants.
Vehicle Information
If any vehicles will be parked at the rental property, the Primary Applicant is required to complete the following fields for each vehicle:
- Make
- Model
- Year
- Color
- License Plate
- State
To add more than one vehicle to the application, click Add Another+ to show an additional vehicle form.
The primary applicant is required to enter all vehicles for the property even if the vehicle belongs to other applicants.
Screening Information
For your rental application to be considered, applicants are required to undergo a background screening conducted by an external third-party credit agency. The screening will review the following to determine if an applicant meets the criteria set by the Property Manager:
- Credit History
- Criminal Background
- Eviction History
To initiate the background screening, each applicant will need to enter their social security number and payment information for the non-refundable cost of $49.95. After agreeing to the Terms of Service and Privacy Policy, and confirming all information is accurate, click Save & Next to submit payment and move forward to the final application step.
To submit the screening information for review, the Applicant Information, Address Information, and Employment Information steps of the application must be completed and saved.
File Upload
To confirm the identity of the rental applicant and verify rental income requirements, applicants are required to provide documentation to be reviewed by the property manager. The standard documentation to be uploaded includes:
- Government-Issued Photo ID
- Pay Stub
- Bank Statement
An electronic copy of each file should be uploaded and the Property Manager will review to confirm if the documentation is sufficient or if additional documentation will be needed.
If an applicant does not have the requested files, they may contact the Property Manager to confirm if other forms of documentation are accepted.
Check Your Application Status
As you work on your rental application, it's important to understand the current status of the application so you can complete the required information necessary to be considered for the rental lease. You can check the status of your application on the My Applications page:
Your application can be in any of the following statuses:
Application Status | Description |
---|---|
New | This is the starting status when you first create a rental application and have not begun completing any of the steps. |
Incomplete | Once you have begun the application but have not submitted the application for the screening review. |
Submitted | Your application has been submitted to the third-party credit agency and the screening report is pending. |
Under Review | The screening report has been returned and the property manager has begun their review. |
Missing Information | Necessary files were not uploaded with the rental application, or additional documentation has been requested after review. |
Approved | The rental application has been reviewed and marked as approved to rent. |
Denied | The rental application was denied after being reviewed by the property manager. |
If there is more than one rental application for a property, all individual applications must be approved in order for the whole application to be approved for a lease.
Cancel Rental Application
If you decide to not move forward with the rental application, or want to apply for a different property, the Primary Applicant will need to click Cancel Application on the 'My Applications' page, which will cancel the application for all applicants.
If an adult applicant or guarantor decides to not move forward with the rental application, clicking Cancel Application on their own individual application will remove the individual from the application for the property.
